Preparing For The Office Move

by Ping Wooten

An office relocation is as stressful to everyone involved as a home move. The employees would have to change their schedule and adjust to the new place while carrying on work. For the management, it could also become very expensive since the operations would temporarily halt during the actual relocation day and go through adjustment period thereafter. If there is no suitable planning, it could become a disaster for all.

The clutter and the emotional are high whenever there is address transfer, whether it is corporate or house. But house relocation doesn't involve as many people as an office relocation does. Corporate relocation impacts more people. As in charge of the relocation management group, start preparing for the move months prior to the actual day, when the lease for the new business address has been finalized. From then you can map out a floor plan for the new area. Any construction works and interior design plans must be completed as well. At the same time, inform the utility companies of the relocation so they can make the needed arrangements and adjustments.

Informing the workers during the early planning stages is imperative. They would have concerns about the whole relocation, not just the new address. Prep them for the move by giving them information about the new address like the directions on going there, public transportation alternatives they could take, commute routes, and parking spaces. Aside from filling them in about the place, take time to attend to their concerns as well. Some of the employees may fear that the move means a reorganization which may not include them anymore.

And because company relocation would affect everyone, assign packing tasks to team leaders, who would then engage their staff in the process. They would be responsible in securing and packing their data and other important stuff. Assign color codes to each team so you can easily identify where the closed containers belong to. Everything must be packed securely and listed accordingly so nothing would be lost.

Meet with a professional moving firm that specializes in corporate relocations and come out with a plan and timetable months before the day. They have the appropriate equipment to carry heavy business machineries and the know-how to handle sensitive items. Formulate a definite plan and estimate the time the tasks would take to finish.
